Reviewing a Marketing Agency Quote: Is the Rate Fair?

You've got a marketing agency quote on the table: a monthly amount, some hours, a management fee on top of your ad budget. For most business owners this is harder to judge than a contractor's quote, there's no fixed 'price per m²' and the output (more customers, more revenue) is hard to trace directly back to the invoice. Here's how to tell if the rate is reasonable anyway.

Why marketing agency quotes are hard to judge

A quote often mixes an hourly rate, a fixed retainer, and a percentage of your ad spend (management fee). Without experience it's unclear which part is normal and which parts, added together, amount to double-charging for the same work.

On top of that, 'strategy hours' and 'meetings' are often vaguely described line items, unlike a contractor's quote, you don't see concretely what's being delivered for those hours.

Normal rates and structure

A freelance marketer typically charges €50–€100 per hour, an agency €75–€150 per hour (higher overhead, more specialists). A management fee on ad spend usually runs 10–20% of the budget, on a €5,000/month budget, a €500–€1,000 fee is normal, much more is a signal.

Retainers (a fixed monthly amount for a set number of hours) commonly start around €1,000–€2,500/month for a small business with limited scope (e.g. social media only, or paid search only), smaller agencies sometimes go lower, larger full-service agencies charge €5,000+.

Red flags in a marketing agency quote

Watch for: a 12-month contract with no early-exit option, no concrete reporting agreements (how often, which numbers), and KPIs that stay vague ('more visibility' instead of a specific, measurable goal).

Also notable: if the agency invoices both the hours and the ad spend without a clear split, you can't verify whether you're paying twice for the same effort.

How to check if the rate is market-aligned

Always ask for a breakdown: hourly rate, number of hours per month, management fee percentage, and what concretely you get in return. Compare that against the ranges above before you sign.

Negoti8 can scan a marketing agency quote too: upload it and the AI benchmarks the stated rates and management fee against current market data, so you know within 30 seconds whether something's off.

How much room is there to negotiate

The management fee is usually the easiest to discuss, ask for a lower percentage as the ad budget grows (e.g. 15% up to €5,000, 10% above that). A shorter notice period (1–3 months instead of 12) is also often negotiable without the agency walking away.

Agencies that are newer or have a capacity gap tend to be more flexible than established agencies with a waitlist, just ask.

A marketing agency quote looks opaque, but its structure, hourly rate, management fee, retainer, can be checked against market data just as well as a contractor's quote. The difference is almost nobody does it, which is why agencies sometimes get away with pricing above market.
